Here are some (a few were just asking to see answers) of the responses I had received in regards to the need for a separate warranty signature form in addition to the delivery receipt with narrative:
*Sounds like your auditor was reading way into things. Where did you find this guy? Did he ever do an audit for an O&P company before? At OPIE we have heard a lot of stories about interpretations, but your contractor may with a prize for making life difficult for everyone!
*Personally, if auditor can NOT provide proper requirement, then it’s invalid request. I’d disregard it.
*We have been providing this warranty form for years now. I would recommend you do it.
*It is redundant and makes no sense. Write up a warranty repair paper, send it to them and keep doing what you are doing. If the patient signs that they are aware of the warranties that’s what matters.
*I have never heard of such a thing. You should check with your DME MAC Outreach and Education Advisory Group
I have never heard of such a thing. I know our delivery receipt must state our warranty policy, and list the components being delivered. We also have had to show the credentialing board a copy of our warranty policy from our P&P manual during a site survey. But never have we been told something like this. I believe the auditor is incorrect, and should be REQUIRED to show you the Medicare standard where this is stated in order to comply. If I were you, I’d contact your DMEMAC for your region, and if you’re an AOPA member, run this past Joe McTernan as well.
*So, back to your question, as far as what I was told, you CAN add a line to the intake form stating that they received the Warranty information for the device….they can initial that line, and then sign the bottom of the entire form of all of the initials.
After reviewing the responses and speaking with our O&P software provider it has been decided that a separate warranty form is NOT required. We can have one Proof of Delivery and the warranty statement can be directly stated on that form along with the other requirements.
