Hi list,
I’m curious what the reimbursement for mileage is so that I can set an average reimbursement rate for my employees. Also, are there very many facilities that offer a company car for daytime useage?

I’ve been in sales for over 15 years and the reimbursement at my current company is .375 cents per mile. Last year it was around .35 and .36 cents per mile.

You can also get the US rate, which is published. I believe it is .37 cents per mile.

Our company allows one orthotist to use a company vehicle all the time with the understanding that he is available for hospital calls all the time. we have 11 offices so he is on the road constantly……They give us 32 cents per mile currently, but are talking about increasing it to IRS rates which we believe is 34 cents……..
I get a set $500. per month auto allowance, plus they pay for my tolls, parking, and misc. expenses… With the traveling I do, it comes to about 35 cents per mile on average.

check with your accountant. I believe that the IRS allows a maximum of 0.375 cents per mile as reimbursement. This is NOT mandated but a maximum allowance. We pay mileage but also have one company owned truck for general use. It gets used to haul plaster, plastic and go Costco shopping and other odd office errands. Personal vehicles only if truck not available.

In response to your request regarding mileage reimbursement: I know of one organization that reimburses at 34 cents per mile. I believe they use the government rate as a guide.
Your second question was about if there are very many facilities that offered company cars to their employees. The company that I work at does provide company cars to the practitioners. We cover a pretty large geographical area and do “clinics” in other towns. Also have a busy hospital / nursing home load. Hope this helps.

we use 36 cents per mile and a log must be kept with destinations. This is transfered to a mileage sheet turned in to the book keeper for reimbursement. We have not done company cars in the past few years.

The State of California labor law says that an employee must be paid for the costs incurred to drive their vehicle. Your state may be different. The Feds authorize 35 or 36 cents per mile that can be claimed by the employer.
Without considering the cost of the vehicle plus the wear and tear on the AC, engine and trans; fuel, ins. and tires for my modest little honda totals 27 cents per mile. I used a simple spreadsheet to calculate the amount. The real costs are probably closer to the Feds number.

27 cents per mile is what my boss seems to thing covers the costs. He is wrong but he is wrong on many matters. I’m concidering taking the bus which will slow down hospital response time.
Another point is if I tell my insurance comany that the car is used for business then the rate increases.

The boss was advised by his “advisors” to not provide a company car due to libability incase of an accident. But his “advisors” failed to note that when an employee drives their car for company related business the employer is still responsible for liability issues.

Mileage reimbursement in our office is a GITGO credit card. I leave it up to the discretion of my employees to use it fairly as they see fit.

Last time I checked, the federal govt. (about a year ago)was only allowing 25cents a mile for travel expenses. Of course tolls are included also so thats probably what you shoud pay also.

I have paid both mileage and provided employees a car for use at work.
The
employees are paid .29 per mile. My main office had a car available to practioners to use when traveling to clinics and hospital. I believe the present tax write off is .31-.35 a mile per year. If you pay greater than this amount it becomes a benefit and taxable.

If you own your own facility than you may want to consider providing a car to the company in a lease or pay yourself the mileage. Both are legal and allow you to off set spending during slow times of reimbursement. You still need to check this out with your accountant or finical adviser.

Avoid a company car. It is just as expensive as paying mileage and just another thing to deal with. We recently raised our per mile allowance from
34.5 to 37.5 which is the current federal guideline recommendation.

Look in your 1040 instruction booklet and it will give the latest mileage reimbursement. On the web you can go to IRS.gov or firstgov.gov. The last I heard it was 34.5 cents/mile. My employer just furnishes a car and gas and it comes out cheaper for him and I prefer it.
